GroupWise Web Access FAQ

GroupWise ® Web Access gives you access to your own GroupWise Master Mailbox from the Internet. You can check your Calendar, schedule appointments, send tasks, and send and receive messages just as if you were at your desk back at the office. To use GroupWise away from your office, you must have an existing GroupWise Mailbox, called your Master Mailbox, in your master GroupWise system. You retrieve a copy of your Master Mailbox to your laptop or home computer. This copy is called your Remote Mailbox. Remote exchanges items and information between your Master Mailbox and the Mailbox on your Remote computer. When you use GroupWise in the office, the Mailbox you open is your Master Mailbox. When you use GroupWise away from your office, the Mailbox you open is your Remote Mailbox. When you send an item from your Remote Mailbox, Remote sends the item to your master GroupWise system the next time you connect. From there, GroupWise distributes it to the recipients. When someone at your master GroupWise system sends an item to you, it is delivered to your Master Mailbox. You then use Remote to retrieve the item to your Remote Mailbox.

 

Limitations of the GroupWise WEB access:

Users cannot Archive messages, or access Archived messages.
There is a limit of between 5000 and 8000 Messages in a GroupWise Remote Mailbox.
Users cannot create new address books (although they can access all of their personal address books and add new names to the list).
New documents cannot be added to libraries; however, existing documents can be accessed.
Shared and Find Results folders cannot be created, but shared folders can be accepted (if someone has shared one of their folders with you).
New discussion items cannot be initiated in a shared folder.
Replies to existing discussions are created as discussion items and cannot be converted to private e-mail (without cut and paste).
Posted items (personal calendar items) cannot be created, but users can schedule a personal calendar item with their own UserID on the To line to add new entries to the calendar.

Keep in mind:

WebAccess gives you access to your e-mail and attachments only. You do not have access to your network drives through WebAccess.

Mail that you read using WebAccess is sent across the Internet as HTML pages, which are not secure. If you are very concerned about the security of the mail you read you should not use WebAccess at this time. Whenever you do work outside of the office you must keep in mind the security of the documents you use in the course of that work. Security and privacy are your responsibility.
Unless you have a very fast Internet connection you will find that WebAccess responds slowly. If you have a slow Internet connection, choose the non-Java option when starting WebAccess. WebAccess is best suited for occasional access to your mail when you are away from the office.

How do I log in to GroupWise WebAccess?

 

At your browser, type in the address bar http://mail.southwesterncc.edu . At the prompt, enter your username and password. Your login information will be the same as your Novell NetWare login information. If you are having difficulty logging in, try your full distinguished name, for instance, if your account is located in the AS context, and your name is Jane Smith, your full distinguished name would be .jsmith.as.scc Also try your full name, login: Jane Smith as opposed to jsmith.

How do I open an email?

 

From the Item List, click the subject of the item.

How do I compose and send an email?

 

Click the button on the left to compose an email and click send.

Regarding Replying to an email, Reply to Sender sends a reply to the sender only. Reply All sends a reply to the sender and all recipients of the original item.

How do I keep GroupWise WebAccess from timing out while I'm composing an e-mail?
 

If you're composing lengthy e-mail messages, it is best to create the message in a Word processing application (such as Microsoft Word) beforehand and then copy and paste into the GroupWise message. Specific actions, such as opening or sending an item, generate a call to the Web server. Other actions such as scrolling through items in the Item List, composing a message without sending it or reading help topics do not generate a call to the Web server. If, for a period of time, you leave GroupWise WebAccess alone or perform actions that don’t generate a call, WebAccess logs you out. Doing so not only provides security for your e-mail but also ensures that the Web server and GroupWise WebAccess run efficiently.

How do I use Spell Checker?

  1. From a message you are creating, click Spell Check.
  2. When Spell Checker stops on a word and suggests replacements, click the word you want in the Suggestions box, then click Replace.
  OR - Edit the word in the Replace With box, and then click Replace.
  3. If you do not want to change the word, click Skip.
  Sometimes Spell Checker offers no replacement words. If this happens, click Skip or edit the text manually in the Replace With Box. The WebAccess dictionary and world lists cannot be modified.
  4. When there are no more words to check, click close.

How do I automatically add a signature to items I send?

  1. From the GroupWise WebAccess main window, click the Options icon on the toolbar.
  2. Click Signature.
  3. Click Activate Signature.
  4. Type your signature text in the box.
  5. Click Automatically Add Signature to have GroupWise WebAccess add the signature when you send the item.
  OR - Click Prompt Before Adding Signature to have GroupWise WebAccess prompt you before adding the signature when you send the item.
  6.Click Save.

How do I use the Address Book?

 

To access your address book, click the address book icon.

How do I search for an entry in the Address Book?

  1. From the GroupWise WebAccess main window, click the Address Book icon to open the Address Book.
  2. In the Address Books list, select the address book you want to search.
  3. Select the number of entries you want displayed at one time. The default displays 25 entries at one time.
  4. To list the first entries in the selected address book, leave the search conditions boxes empty
  OR - To search for a specific entry, use the search conditions boxes to define the Address Book fields and information you want to search.
  5. Click Search Address Book to display a list of entries that match your search conditions.

How do I delete my messages?

 

When you delete an item, the item is moved to the Trash. The item remains in the Trash until you purge the item from the Trash or purge all items by emptying the Trash. The Trash works like other folders in your Folder List, which means you can list the items in the Trash as well as open and view item contents. You can also undelete items in the Trash. Undeleted items return to the folders from which they were deleted.

  1.To delete an email, select it by clicking the checkbox next to it and click Delete.

How do I undelete email?

  1. Click Trash in the Folder List.
  2. Open the item you want to undelete.
  3. Click Undelete in the toolbar of the item .

How do I change my password?

  1. From the GroupWise WebAccess main window, click Options on the toolbar.
  2. Type your old password
  3. Type your new password twice to confirm it.
  4. Click OK.

I noticed that there is a folder called 'Unopened Items' on the Web Interface. I don't want all my un-archived messages showing up in here. What can I do about this?

 

This is a feature of the Web Interface. All messages brought back from an archive will display in the 'Unopened Items' folder.

NOTE : the icon in front of the subject indicates that these messages have been read.

 

How do I prevent un-archived messages from displaying in my Unopened Items folder?

 

If you don't want un-archived messages to display here, you have two choices. No matter which you choose both require access to a networked computer on campus with the regular GroupWise client.

  1. From the regular client, open a folder of un-archived messages.
  2. Click on a message and Press Control + A to select all messages.
  3. Right-click on the highlighted messages and select Read Later.
  4. Wait a few seconds then select Mark Read.

How do I write a rule to specify that all my messages are to be marked as read?

 

This would cover any messages you may un-archive in the future.

  1. From the Main Mailbox window, Click Tools > Rules.
  2. From the Rules dialog box, Click the 'New' button.
  3. Give the Rule a name such as Mark as read.
  4. In the section 'When event is' Click the button titled 'New Item' and choose Open Folder.
  5. In the Select folder: box, Click the button at the end of the box.
  6. Select the desired folder and Click 'OK'.
  7. The section 'Define Conditions...' should read 'Act on all items'.
  8. Skip to the section 'Then actions are' and Click 'Add Action'.
  9. Select 'Mark As Read'.
  10. Click 'Save' and close the Rules dialog box.

Is the proxy feature available from the Web version of GroupWise?

 

Yes. If you already have proxy rights to another mailbox or calendar, you will be able to proxy from GroupWise for the Web. This means that you can manage another user's Mailbox (including the Calendar), or you can grant access rights from the Web to allow another user to manage your Mailbox.

Can I grant proxy rights using GroupWise for the Web?

 

Yes you can. Here's how.

 
1. From the GroupWise WebAccess main window, click Options.
  2. Click Proxy Access.
  3. For a user to have proxy rights to your Mailbox, you must add the user to the Proxy Access list.
  4. Click Add Entry to display the Add Proxy Access page.
  5. Click Address Book to open the GroupWise Address Book.
  OR - If you know the GroupWise user ID of the person you want to assign as a proxy, enter the user ID in the Name field.
  6. Select the rights you want to give the proxy.
  7. Click Save to add the proxy to the Proxy Access list.
  8. When you are finished adding names to your proxy list, Click Close to close the Proxy Access list.

How do I proxy to another mailbox from GroupWise Webmail?

  1. From the GroupWise WebAccess main window, click Proxy. . The Proxy list contains the names of all users whose Mailboxes you've previously proxied
  2. If the mailbox you want to proxy is listed in the Proxy list, click the user.
  3. If the desired user is not listed, Click the Address Book button to open the GroupWise Address Book.
  4. If you know the desired user name, you can simply enter the person's full GroupWise address (e.g.; smithj@ipfw.edu) in the Name field and Click Login.
  5.Note that the proxy icon displays to the left of the name above the Mailbox
How do I exit out of GroupWise Web Access?
 

You should always exit by clicking on the DOOR icon above the Help link. If you close out by closing your browser window, you do not completely exit your account.

NOTE: Whenever you are finished using Web Access always make sure you sign out using the Exit button at the top of the screen. Failure to sign out of the system may result in another user being able to access your account.
